The owner's morning question is usually the same: who is arriving, how did we do yesterday, and what are we about to run out of? In many resorts the answers are scattered across a booking sheet, a cashier's notebook and the head cook's memory. Here is how to bring them together.
Why resort inventory goes wrong
Resorts stock very different things in several places: ingredients in the kitchen, drinks at the bar, towels and toiletries in the housekeeping store. Items disappear through spoilage, breakage, staff meals and plain miscounts. Without a routine, you only discover a shortage when a guest orders something that is gone.
A simple routine that works
- Know where each item lives. Track stock by location (kitchen, bar and dining, housekeeping store) so you know what is where.
- Count at opening and closing. A short count at the start and end of a shift shows differences while people still remember what happened.
- Set a reorder level. For each item decide the quantity at which you want a warning, so low stock is flagged before it runs out.
- Review restocks before they count. When staff receive deliveries, have someone check and confirm the quantities so the numbers stay trustworthy.
- Record every change. Receipts, issues, transfers and adjustments should each leave a trace, so you can answer "where did it go?"
What a daily briefing adds
Even with good data, someone has to read it. A daily briefing turns your bookings, sales and stock into a short summary you can read, or listen to, in under a minute. A typical one might say that seven guests arrive today, five check out, sales are up on last week led by food and drinks, and cooking oil is running low, so restock before the weekend.
Because AI can make mistakes, treat the briefing as a prompt to look closer, not as a final record. The figures themselves should come from your own bookings, sales and stock, and you can always open the underlying screens to check.
How ResortDesk does it
ResortDesk includes inventory with stock by location, opening and closing counts, low-stock levels, restock review and a trail of stock movements. It also has an AI daily briefing built from your resort's own data, which you can read or listen to in a choice of 10 voices, with the text highlighted as it is read aloud. An Ask AI chat lets you ask questions such as which room earned the most this month.
You can see the AI features on the home page or try the live demo.
